Booking Terms

Please read these terms carefully before submitting your inquiry or paying your planning fee. By submitting an inquiry and/or paying a planning fee to PTO Travel Agency, you confirm that you have read, understood, and agreed to the following terms and conditions. These terms govern all travel planning services provided by PTO Travel Agency, operating under Waiter's Travel. All prices are subject to change based on supplier rates, availability, and travel dates at time of booking.
Section 01

Planning Fee Policy

A non-refundable planning fee is required to reserve your planning spot and begin the trip-building process. Planning fees are as follows:

Important: Your booking is NOT confirmed until your planning fee has been received and processed. Submitting an inquiry holds no spot and does not constitute a confirmed booking. Work does not begin until payment is received.

Planning fees are non-refundable under all circumstances, including but not limited to: change of mind, personal emergencies, failure to complete booking, or cancellation after services have commenced. The planning fee compensates for time, research, and expertise provided regardless of whether a booking is ultimately completed.

All prices quoted are subject to change and are not guaranteed until supplier deposits are received and bookings are confirmed in writing by the respective vendors.

Section 02

Cancellation Policy

Cancellations must be submitted in writing to admin@ptotravelagency.com. Verbal cancellations are not accepted. The following schedule applies:

PTO Travel Agency's planning fee is non-refundable at every stage of cancellation. Supplier refund eligibility is entirely governed by each vendor's individual cancellation policy. PTO Travel Agency will advocate on your behalf but cannot guarantee any supplier refund.

PTO Travel Agency strongly recommends purchasing comprehensive travel insurance at the time of booking to protect against cancellation losses. See Section 05 for our Travel Insurance Acknowledgment.

Section 03

Change Fee Policy

Modification requests to confirmed bookings — including but not limited to changes in travel dates, room type, traveler names, destination, or flight routing — are subject to the following fees:

All change requests must be submitted using the Booking Change Request Form. Changes are not guaranteed and are subject to availability at time of request. All prices are subject to change and new rates will apply at the time the modification is processed.

Section 04

Payment Terms

The following payment schedule governs all bookings made through PTO Travel Agency:

Final PaymentTypically 30–90 days before travel departure, per supplier requirements.
Failure to submit payments on time may result in loss of your booking, forfeiture of deposits, and/or price increases at rebooking. PTO Travel Agency will provide payment reminders but is not responsible for missed deadlines due to client non-response.

All prices are subject to change until deposits are received and confirmed in writing by the supplier. PTO Travel Agency is not responsible for price increases that occur between quote and booking if client delays payment.

Section 05

Travel Insurance Acknowledgment

PTO Travel Agency strongly recommends comprehensive travel insurance on every booking. Travel insurance can protect you against trip cancellation, interruption, medical emergencies, evacuation, baggage loss, and supplier default.

By proceeding with a booking, the client acknowledges:

The client has either: (a) chosen to purchase travel insurance through PTO Travel Agency or independently, OR (b) knowingly declined travel insurance and accepts full financial responsibility for any losses that travel insurance would have covered, including cancellation, medical emergency, and interruption costs.

PTO Travel Agency is not liable for any losses that would have been covered under a travel insurance policy that was declined.

Section 06

Responsibility Disclaimer

PTO Travel Agency acts as an intermediary between clients and third-party travel suppliers including airlines, hotels, cruise lines, tour operators, transportation companies, and other service providers. PTO Travel Agency is not responsible for:

  • Airline delays, cancellations, overbookings, or schedule changes
  • Hotel or resort closures, renovations, changes in quality, or service failures
  • Supplier bankruptcy or insolvency
  • Acts of God, natural disasters, pandemics, or force majeure events
  • Government actions, border closures, or entry requirement changes
  • Lost, delayed, or damaged baggage
  • Personal injury, illness, or property loss during travel
  • Errors or omissions by third-party suppliers
  • Failure to obtain required travel documents (passports, visas, vaccinations)

PTO Travel Agency will make every reasonable effort to resolve issues that arise before and during travel. However, our liability is limited to the planning fee paid and does not extend to supplier failures, losses, or circumstances beyond our control.

It is the client's sole responsibility to ensure all travelers possess valid passports, required visas, vaccinations, and any other entry requirements for their destination(s).

Section 07

Agreement to Terms

By signing below (or by checking the agreement box on the inquiry form), the client confirms they have read, understood, and agreed to all terms and conditions set forth by PTO Travel Agency. This agreement is binding upon submission of an inquiry and/or payment of a planning fee.
